The innovation agency DIVE INN has come a big step closer to its goal of going paperless. The combination of accounting software ensures this sevDesk and our invoice management solution. This means the company not only saves paper, but above all a lot of time. While downloading and assigning invoices used to take a day each month, this can now be done in an hour.
“We try to automate processes wherever possible,” explains Moritz, co-founder and CEO of DIVE INN, and adds: “We can then invest the time gained in this way in our customer service.” Above all, Moritz was concerned about the high level of effort a thorn in the side in the administrative area. That’s why he introduced sevDesk three years ago together with his brother Philipp, who is also co-founder and CEO of the innovation agency. “Since then, we have been able to make our quotation system largely paperless and automated,” explains Moritz.
Easy start
But DIVE INN was not satisfied with that and held an internal workshop to identify further weak points in the administration. The result was invoice management, as the agency received numerous invoices by mail or had to download them from portals. That’s why DIVE INN has asked its suppliers to send invoices by email as PDF, which usually works. However, this did not close a gap, namely the downloading of invoices from portals or marketplaces. The best example is Amazon: Which company has the desire, let alone the time, to write to retailers individually to request invoices?
Following a recommendation, DIVE INN came to GetMyInvoices and immediately tested the invoice management software. The onboarding process was very easy, as all you need to do is provide an email address to receive invoices. The connection to portals is also explained step by step and support is available quickly if you have any questions. “It all worked really well and that’s why we introduced the solution straight away,” says Moritz. “Since then, our Amazon invoices simply end up in the email inbox, which GetMyInvoices automatically checks for new, relevant receipts. In addition, there are the connections to the portals, for example all the software providers, such as Adobe or Microsoft, whose solutions we use and from which we would of course have to download monthly invoices. GetMyInvoices completely relieves us of this work.
No missing documents
Another plus point is that GetMyInvoices has a connection to sevDesk, so that the invoices go directly to the accounting software.
“The interaction works excellently,” says Moritz. “Invoices no longer need to be assigned. sevDesk and GetMyInvoices work hand in hand and we automatically transfer all accounting to our tax advisor via DATEV. It couldn’t be better.” Because: “This means that no invoice can be forgotten and the number of questions from our tax advisor about missing receipts has been reduced,” says Moritz.
“Infectious” enthusiasm
Due to the positive experiences, GetMyInvoices is also included apomap , a provider of free messenger service software for pharmacies. This company is also managed by Moritz and Philipp. “DIVE INN’s approach can be clearly demonstrated on apomap. Together with my father, who has been a pharmacist for 30 years, we analyzed the challenges pharmacies face in a workshop. The messenger service in particular has emerged. As part of a co-creation process, we then developed apomap and founded it in 2019. Since we were already convinced by GetMyInvoices at DIVE INN, we quickly introduced the invoice management software in this company,” explains Moritz.
