The mail has arrived!

Lübeck/Berlin. With the new interface to Dropscan, GetMyInvoices integrates the digitization of letters and paper documents into its invoice management. Companies can thus manage all receipts, invoices, and bank and credit card statements centrally in GetMyInvoices - regardless of whether they receive them by physical or digital mail, capture them via the scan app, import them from third-party systems, or download them automatically from portals.

"With the Scanbox, our digital mailbox, we not only receive our daily mail, but also all kinds of paper documents that our customers send to us," says Christian Schulte, Managing Director of Dropscan GmbH, and explains: "The contents of all shipments are fully digitized on request, regardless of whether it is a letter or a box full of files. After scanning, our customers automatically receive the digital documents via interfaces in external solutions such as GetMyInvoices."

Companies that want to receive their mail digitally in GetMyInvoices receive an individual postal address from Dropscan to which they can forward their mail using a forwarding order or send their paper documents directly there. The invoices received in the scan box are digitized by Dropscan and then automatically saved in GetMyInvoices in PDF/A format. Here, all receipts are automatically assigned to the respective credit card and account transactions. GetMyInvoices' OCR engine reads the data contained and optionally transfers it to third-party systems, such as accounting software. GetMyInvoices also optimizes collaboration with the tax advisor by forwarding the accounting documents to him.

"With the interface to Dropscan, we have closed the last gap," says Björn Kahle, COO of fino, a fintech startup that offers the invoice management software GetMyInvoices. "Now our customers can automatically integrate invoices that they still receive in paper form by post into our solution. This means that all receipts are available centrally."

Dropscan also offers to digitize existing files. In conjunction with GetMyInvoices, companies can store all tax-relevant documents conveniently and in a space-saving manner for the legally prescribed period.

Dropscan offers a scanning service for letters and paper documents in the cloud for SMEs and private individuals. All customers receive an individual postal address, the so-called scan box address, to which they can forward their letters or send their paper documents. In a web application, the customer can control the receipt and processing of their mail completely online in their secure Dropscan account. Incoming mail is scanned on request and made available as audit-proof PDF/A files. The mail can then be destroyed in accordance with data protection regulations, forwarded by post or securely archived for the long term. Mail processing can also be fully automated using rule-based workflows. With the help of integrations, the digital documents are automatically transferred to external third-party systems (e.g. cloud storage, email, financial accounting, CRM or DMS systems) for further processing via a secure interface.
