Before the introduction of GetMyInvoices, obtaining receipts at Lemontaps involved a great deal of manual effort. First, the tax office would send a list of payments with outstanding receipts. Then, the assistant would search for the relevant receipts in the various portals and upload them to DATEV.

For this, the assistant needed access to various accounts. “From a compliance perspective, it’s not an ideal solution if several people log in with the same account,” said Anna Loerzer.

After the manual search, further clarification with the tax office was necessary regarding the remaining outstanding items. This often proved lengthy, as the tax office frequently struggled to match each payment to a specific receipt. This resulted in additional email correspondence until all receipts were complete. Missing receipts not only cost valuable time but also significant financial losses.

Automation with GetMyInvoices

With GetMyInvoices, most receipts are automatically found via connected online portals, and the rest via the link to the email inbox. Additionally, GetMyInvoices provides intelligent booking suggestions for proper allocation. Even if the tax office isn’t immediately sure which payment belongs to which receipt, it’s easy to see how Lemontaps made the allocation.

One central source instead of shared access points

From a compliance perspective, there have also been significant improvements. Instead of sharing access to various accounts with multiple people, GetMyInvoices now serves as the single source of truth. Additionally, Lemontaps has integrated all bank accounts. This eliminates the need for direct bank access for the assistant, who still receives a complete overview of all incoming payments. These can be easily reconciled.

Overall, Lemontaps saves around five hours per month and has significantly improved compliance.
