Amendment confirms GoBD compliance of GetMyInvoices

Lübeck. With the GetMyInvoices invoice management solution, users can not only simplify their preparatory accounting, but also comply with the principles for the proper management and storage of books, records and documents in electronic form and for data access (GoBD). The new version recently published by the Federal Ministry of Finance underlines the GoBD conformity of GetMyInvoices and provides legal certainty.

“The new features provide clarity for business practice in several respects,” says Björn Kahle, COO of fino, a fintech start-up that offers the invoice management software GetMyInvoices, and explains: “Cloud systems, which also include GetMyInvoices, are now expressly included in the scope of the GoBD.” According to the letter from the Federal Ministry of Finance, it does not matter “whether the IT systems in question are purchased and used by the taxpayer as their own hardware or software or are operated in a cloud or as a combination of these systems.” Accordingly, it is GoBD-compliant that GetMyInvoices stores all documents in the cloud.

Furthermore, the Federal Ministry of Finance has equated the photographing of receipts using mobile devices, mobile scanning, with stationary scanning. Under certain conditions, storing a conversion is sufficient and the original version does not need to be stored any longer. This means that users are expressly permitted to scan receipts with their smartphones, import them into GetMyInvoices and destroy the receipt after quality control. For example, receipts from meals with business partners can simply be photographed, uploaded to GetMyInvoices and no longer lost. Also permitted: the scenario where employees record receipts abroad, for example during a business trip, using their smartphones. This is because GoBD 2.0 allows image recording using mobile devices abroad if they were created or received there. In addition, anyone who wants to can also scan their paper receipts abroad and import them into GetMyInvoices there, as taking paper receipts abroad and then digitizing them is permitted.

In addition, GetMyInvoices still meets the ten key principles of Bitkom and the Electronic Invoice Association, which reflect the most important requirements for electronic archiving. GetMyInvoices thus supports entrepreneurs, the self-employed and freelancers in the GoBD-compliant archiving of invoices and other documents. “If they also take into account the required procedural documentation, the changes to which must be historically traceable in accordance with GoBD 2.0, they can comply with the requirements of the tax authorities without great effort, while at the same time benefiting from the advantages of automated invoice management,” says Björn Kahle.
