Analogue accounting cost too much time and space Until three years ago MyPostcard’s accounting department still worked fully analogue. Invoices were printed, stored in binders and managed with Excel sheets that the tax adviser also received for posting.

That approach was anything but efficient and storage space kept growing. Receipts also went missing often. Because of those drawbacks MyPostcard decided to digitise its preparatory accounting.

The company first set up a central email address for suppliers and staff to send invoices to. Next it implemented DATEV Unternehmen online, where every invoice was supposed to be uploaded so the tax adviser could book them. That was only half the job, though, because the laborious manual collecting of invoices from different sources remained. On the tax adviser’s recommendation MyPostcard therefore set up GetMyInvoices.

Solution

Connecting DATEV Unternehmen online with GetMyInvoices After installing the invoice-management solution MyPostcard linked GetMyInvoices to supplier portals and to the central email address for receiving invoices. Since then GetMyInvoices automatically collects every invoice from those sources and transfers them into DATEV Unternehmen online.

Handling paper receipts is simpler now too. Staff on business trips no longer have to carefully collect them; they scan them with the GetMyInvoices app as soon as they receive them. The documents then sit in the invoice-management solution and thus also in DATEV Unternehmen online. Printing invoices and storing them on paper are gone. Overall MyPostcard has managed to run about 70% of its accounting paperless.
